01Current event status
An occasion aboard should be planned around what the gathering needs to achieve and how guests will use the yacht. Capacity, comfort, event access and hospitality are related decisions, but they are not interchangeable.
- Shape the guest experience
Confirm attendance, seating or mingling, food service, music, privacy and any accessibility needs before selecting the final layout.
- Separate charter from event access
Tickets, berths, viewing positions and programme access may be supplied by different parties. Request written confirmation for every essential element.
02Guest and charter arrangements
Choose the yacht around how the guests will use it, not capacity alone. Current photographs, the operating certificate and the proposed layout provide a better basis than a single maximum figure.
- Comfort in practice
Consider seating, shade, indoor space, bathrooms, stairs, boarding and the needs of children or guests with reduced mobility.
- The right configuration
Ask the team to show how dining, conversation, entertainment or overnight arrangements work on the actual yacht proposed for your date.
03Access limitations
Event access must be verified for the specific edition, berth and booking. A yacht charter alone does not establish admission, a viewing position or permission to enter a controlled area.
- Confirm the entitlement
Ask who supplies admission or accreditation, which guests are covered, where the yacht may berth and what the booking permits on the day.
- Plan without assumptions
Do not promise a particular view, berth or programme access until the responsible event or marina party has confirmed it in writing.
